This Privacy Notice explains how RecView Pty Ltd ("RecView", "we", "us") handles personal information when you visit recview.co or use the RecView platform.
We comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where applicable, we also comply with the EU GDPR and UK GDPR.

RecView is an AI meeting intelligence platform for recruitment agencies. The platform records, transcribes, and summarises calls and syncs notes into Applicant Tracking Systems (ATS).
2. Our role
We act as a controller for personal information collected directly from website visitors, customers, prospects, and our own staff and contractors.
We act as a processor when we handle personal information on behalf of our customers — including recordings, transcripts, and ATS data relating to candidates and other third parties. In that capacity, the recruitment agency that uses RecView is the controller and is primarily responsible for that data. Candidates with questions about a specific recording or transcript should contact the agency that recorded the call. We will assist where requested.
3. What we collect and why
From website visitors: device and usage data (IP address, browser, pages viewed), cookies (see Section 6), and any details you submit through forms (name, work email, company, message).
We use this to operate the website, respond to enquiries, and improve our services.
From customers using the platform: account details (name, work email, role, company), billing information, calendar and meeting metadata where you connect a calendar, recordings and transcripts of meetings the platform is invited to, AI-generated summaries, ATS data accessed through authorised integrations, product usage and audit logs, and support communications.
We use this to provide the service, support customers, secure the platform, comply with legal obligations, and improve the product. We do not use customer recordings, transcripts, or ATS data to train general-purpose AI models.
From candidates and other parties recorded by an agency using RecView: name, contact details, audio/video recordings, transcripts, AI-generated summaries, and any data the agency holds in their ATS that is accessed through the platform.
We process this only on the documented instructions of the recruitment agency that controls the data. The agency is responsible for any consents required under applicable law.
Legal bases (GDPR / UK GDPR)
We rely on contract to provide the platform; legitimate interests to operate the website, secure systems, and improve the product; consent for non-essential cookies and direct marketing where required; and legal obligation where we must keep records or respond to lawful requests.
Under the Australian Privacy Act, we collect and use personal information where reasonably necessary for our functions, with consent where required, or as otherwise permitted by the APPs.
4. Who we share it with
We share personal information with:
- service providers that help us deliver the platform — including cloud hosting, application platform, video processing, transcription, AI processing, calendar and ATS integration, customer communications, and analytics providers
- our customers, where you are a candidate or third party recorded by an agency
- professional advisors under confidentiality
- authorities where required by law or valid legal process
- acquirers in connection with a merger or sale, under appropriate confidentiality

5. International transfers
RecView is based in Australia. Our infrastructure and service providers operate in Australia, the United States, and the European Union.
For transfers from the EU/UK, we rely on Standard Contractual Clauses and equivalent safeguards. For disclosures under Australian law, we take reasonable steps to ensure overseas recipients handle personal information consistently with the APPs.
6. Cookies
We use strictly necessary cookies for login, security, and core site functions, and analytics cookies to understand how the site and product are used. Where required, we ask for consent for non-essential cookies via the cookie banner. You can manage cookies through the banner or your browser settings.
7. How long we keep it
We keep personal information for as long as we need it for the purposes described, then we delete or anonymise it. Specific retention periods depend on the data type, our legal obligations (such as tax records), and customer configuration of the platform. Customers can request deletion or return of their data at the end of their subscription in line with their Data Processing Agreement.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict, object to, or port your personal information; to withdraw consent; and to opt out of marketing communications.
To exercise any of these rights, email [email protected]. We will verify your identity and respond within the timeframe required by law (30 days under Australian law; 1 month under GDPR / UK GDPR).
If you are a candidate, please contact the recruitment agency that recorded your call first — they are the controller of that data. We will help you reach them if needed.
You may also complain to the Office of the Australian Information Commissioner (oaic.gov.au), the UK Information Commissioner's Office (ico.org.uk), or your local EU supervisory authority.
9. Security
We use technical and organisational measures appropriate to the nature of the data we hold, including encryption in transit and at rest, role-based access controls, multi-factor authentication for staff, audit logging, vendor due diligence, and a documented incident response process. RecView is working toward SOC 2 Type II attestation.
10. Children
RecView is not intended for anyone under 16 and we do not knowingly collect personal information from children.
11. Changes
We may update this Privacy Notice from time to time. The effective date above reflects the latest revision. For material changes affecting customers, we will provide notice by email.
